Terms of Service

1. Booking Confirmation

A booking is confirmed once a non-refundable deposit has been received and accepted by Sandy Thomson. By paying the deposit, the client agrees to these Terms & Conditions.

2. Deposit

A non-refundable deposit is required to secure your booking and reserve the agreed date. As bookings are accepted exclusively, the deposit cannot be refunded if the client cancels the event for any reason.

3. Payment

The remaining balance must be paid in full on the day of the booking, before the performance begins, unless otherwise agreed in writing.

4. Venue Access

To allow sufficient time for unloading, setting up equipment, carrying out safety checks and sound testing, Sandy Thomson requires access to the venue at least two hours before the agreed performance start time.

If access is delayed by the venue or client, Sandy Thomson cannot guarantee the agreed start time.

5. Performance Times

The agreed performance times will be confirmed at the time of booking.

If the event overruns due to delays outside Sandy Thomson’s control, every effort will be made to accommodate the revised schedule where possible. However, this cannot be guaranteed and may be subject to additional charges.

Any request to extend the performance on the day is subject to availability.

6. Weddings

For wedding receptions, clients are encouraged to provide a running order before the event, including key moments such as:

  • Wedding breakfast
  • Speeches
  • Cake cutting
  • First dance
  • Evening guests arriving


Providing this information helps ensure a smooth and well-timed evening.

If the first dance or other formalities are delayed significantly, Sandy Thomson will make every effort to adapt the schedule but cannot guarantee that lost performance time can be recovered.

7. First Dance Music

Clients should provide their chosen first dance music well in advance if a bespoke edit or mix has been requested.

Where music supplied by the client is of insufficient quality or unavailable, Sandy Thomson will source the best available version where possible.

8. Equipment

All sound and lighting equipment is professionally maintained and PAT tested where applicable.

Equipment remains the property of Sandy Thomson and must not be moved, adjusted or operated by guests or venue staff without permission.

9. Venue Requirements

The client is responsible for ensuring that the venue provides:

  • Safe access for loading and unloading equipment
  • A suitable, level performance area
  • Adequate electrical power
  • Sufficient protection from adverse weather for outdoor or marquee events


Outdoor performances are only possible where equipment is fully protected from rain, excessive heat and other weather conditions.

10. Parking & Accommodation

Where venue parking charges apply, these will be added to the final balance unless otherwise agreed.

For venues requiring significant travel or late-night journeys, overnight accommodation may be requested where appropriate. Any such requirement will be agreed before confirming the booking.

11. Music Requests

Clients are welcome to provide playlists and preferred genres in advance.

Every effort will be made to accommodate requests from guests, provided they are appropriate for the event and consistent with the client’s preferences.

Sandy Thomson reserves the right to decline requests containing offensive, abusive or inappropriate content.

12. Client Responsibilities

The client is responsible for:

  • Ensuring the venue permits DJ entertainment.
  • Informing Sandy Thomson of any venue restrictions.
  • Obtaining any licences or permissions required by the venue.
  • Ensuring guests behave responsibly around DJ equipment.


The client accepts responsibility for any loss or damage to equipment caused by themselves, their guests or contractors.

13. Cancellation

If the client cancels the booking, the deposit will remain non-refundable.

Any additional payments already made may be refunded at Sandy Thomson’s discretion, depending on notice given and any costs already incurred.

If Sandy Thomson is unable to attend due to serious illness, accident or circumstances beyond reasonable control, every reasonable effort will be made to arrange a suitable replacement DJ.

If a replacement cannot be found, all monies paid, including the deposit, will be refunded in full.

14. Force Majeure

Neither party shall be liable for failure to fulfil their obligations due to circumstances beyond reasonable control, including but not limited to severe weather, flooding, road closures, venue closure, power failure, government restrictions or other unforeseen events.

15. Photography & Social Media

Unless requested otherwise by the client before the event, photographs or short video clips may be taken during the performance and used for promotional purposes on Sandy Thomson’s website and social media channels.

No personal information about clients or guests will be published without permission.

16. Liability

Sandy Thomson maintains appropriate Public Liability Insurance and takes every reasonable care when providing entertainment.

Liability for any claim arising from the booking shall be limited to the total amount paid by the client.

17. Acceptance

Payment of the booking deposit confirms that the client has read, understood and accepted these Terms & Conditions.
